Women’s Guild in Oman Privacy Policy Last reviewed: March 2026
This policy has been prepared in accordance with Oman’s Personal Data Protection Law (Royal Decree No. 6/2022) and its Executive Regulations (Ministerial Decision No. 34/2024), which became fully enforceable on 5 February 2026.
Note: Arabic is the primary language of legal compliance under the Oman PDPL. An Arabic version of this policy is available on this website. In the event of any conflict between the English and Arabic versions, the Arabic version takes precedence.
1. Who We Are
The Women’s Guild in Oman (WGO) is the data controller for the personal data collected and processed through this website and through membership.
Data Protection Officer: Cherie Gooding — support@womensguildoman.com
Members and data subjects have the right to contact the Data Protection Officer directly on any matter relating to the processing of their personal data.
2. Scope of This Policy
This policy applies to all personal data processed by WGO in connection with membership, events, and communications. It covers the following categories of data subjects:
- Current and former WGO members
- Prospective members who have attended coffee mornings or made enquiries
- Business partners and their representatives
This policy covers data collected via the WGO website, membership registration forms, event sign-ups, and direct communications with the committee.
3. What Data We Collect
We collect personal data that you provide to us when you register as a member, sign up to receive communications, or contact us. This may include:
- Full name
- Email address
- Phone number
- Nationality
- Membership status and renewal dates
- Event attendance records
We do not collect payment card details. All membership fee payments are made offline.
We do not collect sensitive personal data as defined under Article 5 of the Oman PDPL (such as health data, biometric data, or data relating to ethnic origin, political or religious opinions).
WGO does not process personal data relating to children. Our membership and events are aimed at adults.
4. Why We Collect It
We process your personal data for the following purposes only:
- To manage your membership and keep your membership record up to date
- To send you information about WGO events, activities, and communications
- To manage event bookings and attendance
- To administer the Business Partner discount programme
- To contact you about your membership or enquiries you have made
We will ask for your explicit consent before using your data for any purpose not listed above.
5. Your Consent
Under the Oman PDPL, the only lawful basis for processing personal data is explicit consent. By completing the WGO membership registration form, you are providing that consent in writing.
Your consent must be freely given, specific, and unambiguous. We will not infer consent from silence or inaction.
You have the right to withdraw your consent at any time by contacting the Data Protection Officer listed in section 1. Please note that withdrawing consent will affect our ability to maintain your membership.
6. Photography at Events
Photographs are taken at WGO events and may be used on the WGO website and social media channels. If you would prefer not to be photographed, please inform the event organiser on the day. We will not post identifiable photographs of individuals who have asked not to be included.
Members who share event photographs on their own social media should seek permission from any identifiable individuals before posting.
7. Who We Share Your Data With
We do not sell, rent, or trade your personal data to third parties.
We may share limited data with WGO Business Partners solely for the purpose of administering member discounts — for example, confirming active membership status. This is done only where necessary and with appropriate confidentiality in place.
We will not transfer your personal data outside the Sultanate of Oman without your explicit consent, in line with Article 23 of the Oman PDPL.
8. How Long We Keep Your Data
We keep your personal data for as long as your membership is active. If your membership lapses or is cancelled, we will retain your record for 12 months to allow for renewal. After that period, your data will be securely deleted.
Secure deletion means your data is permanently removed from our systems and cannot be recovered. We do not archive or retain data beyond the periods stated above.
You may request deletion of your data at any time before that point (see section 9).
9. Your Rights
Under the Oman PDPL, you have the following rights. To exercise any of them, submit a written request to the Data Protection Officer listed in section 1. We will respond within 45 days.
- Access — request a copy of the personal data we hold about you
- Correction — request that inaccurate or incomplete data is updated
- Deletion — request that your personal data is erased
- Portability — request a copy of your data in a transferable format
- Withdraw consent — withdraw your agreement to us processing your data
If we are unable to fulfil your request, we will explain why in writing. If you are not satisfied with our response, you have the right to raise a complaint directly with the MTCIT.
10. Data Security
We take the following measures to protect your personal data:
- Access to membership data is restricted to committee members who require it for their role
- Data is stored securely and is not accessible to unauthorised individuals
- We conduct periodic reviews of who has access to member data
In the event of a data breach that poses a risk to your rights, we will notify the MTCIT within 72 hours and inform affected members promptly where required by law. We maintain a record of any breaches as required by the PDPL.
11. Regulatory Authority
The body responsible for overseeing data protection compliance in Oman is the Ministry of Transport, Communications and Information Technology (MTCIT). If you are not satisfied with how we have handled your personal data, you have the right to raise a complaint with the MTCIT directly.
